To ensure a standardized image both internally and externally when absent, we ask all our employees to copy and paste the appropriate automatic reply of the following three options into Outlook under “File” > “Automatic replies” > “Send automatic replies” > “Outside my organization” and “Within my organization.” The automatic reply can and should be individually adapted as required. To save the out-of-office notification without enabling the out-of-office client, click on “Do not send automatic replies” and then on “OK.”
As soon as you need the automatic out-of-office notification, change the settings to “Send automatic replies” and, if necessary, enter a time period during which the out-of-office notification should be sent. The previously entered notification will now be sent to anyone who contacts you by e-mail during this period.
